One week = 7 nights; reservations are on a per night basis
One month = 28-30 nights
Upon an email or verbal request, we will accept a reservation in your name for the dates you have requested. The reservation will be immediately placed on our calendar and the initial deposit (50%) is due within 7 days or else the reservation will be cancelled.
Please note that reservations made less than 30 days prior to arrival date must be paid in full within 48 hours of making your reservation or else the reservation will be cancelled.
A reservation is confirmed only after receipt of the initial deposit and or payment amounts.
Deposit and or payment amounts include rental fees, accommodations/excise taxes, cleaning fees and trip protection insurance.
Important: Full payment is due 30 days prior to arrival date. If full rental payment is not received 30 days prior to arrival date, your reservation will be considered cancelled and your entire deposit will be forfeited. We will reserve the right to rent to others at this point.
Upon receipt of all deposits and payments, you will receive an email confirmation. Check in instructions and the code to the unit will be sent within two weeks of arrival once payment for all services have been received and have cleared the bank.
Acceptable forms of payment: Credit Cards (fee applies) and the fee depends on country of residence. Cashiers Check, money order and personal checks also accepted. We also use Paypal.
Rate Calculation: You will be charged per night per the rate stated. For nights stayed beyond the monthly allowance of 28-30 nights, the regular nightly rate will apply. For instance, a guest staying 31 nights or 61 nights would pay the monthly rate(s) plus the regular nightly rate for the last night.
Cleaning Fees: A $110 departure cleaning fee is applicable to all rentals at Kihei Garden Estates and a departure cleaning fee of $125 is applicable to all rentals at Village By the Sea. All cleaning fees are paid directly to the service provider. In addition, any additional cleaning services during your stay shall be paid by you directly to our service provider. We ask that all dishes be washed and put away upon departure as we are charged extra fees for that service.
Taxes: Accomodations and excise taxes of 13.416% apply to all rentals. These are submitted directly to HI Dept of Taxation. W73536391-01
CONDO RENTAL RULES & POLICIES:
Check in is at 3:00 PM for Kihei Garden Estates and Village By the Sea and check out is at 11:00 AM. **As a courtesy to our cleaning professional, early check-ins are generally not available and may only be available with prior authorization. For later check out times, additional charges will apply. Un-authorized early arrivals and un-authorized late departures are not acceptable. This includes leaving luggage and other personal items in the unit.
All deposits/payments are subject to the cancellation policy as follows:
DEPOSIT/ PAYMENT & CANCELLATION POLICIES
If you must cancel your reservation, notify us at least 60 days prior to your arrival date. Your deposit will be refunded less a $125 cancellation fee.
Cancellations received between 59 and 30 days prior to arrival date are subject to a cancellation fee equal to your initial deposit amount of 50%.
Cancellations received less than 30 days prior to scheduled arrival date are subject to forfeiture of total payments. We will do our best to re-book for you and refund any monies we receive. The cancellation fee will be applied to any monies refunded as a result of our efforts.
Holidays and Busy Season: (November 1 - April 15th). For cancellations made prior to 60 days of arrival, we will refund your deposit less a $175 cancellation fee. Otherwise, there are no refunds unless our Trip Cancellation Protection described below has been purchased.
It is important to note that there are no exceptions to the cancellation policy due to personal emergencies. For this reason, we recommend our Trip Cancellation Protection below for condo rental reservations. See below for details.
If you must reschedule your vacation during the same year, there is a $150.00 change fee if you notify us within 60 days of your arrival date.
Rescheduling less than 60 days prior to original arrival date will result in loss of deposit and/or payments, the same as a cancellation (see above).
Rescheduling less than 30 days prior to arrival will result in forfeiture of total payments, the same as a cancellation (see above).
Refunds: Once you have checked in and only in the case of an extreme emergency such as a flood or fire in the unit, which was not caused by you or one of your parties and which requires evacuation for longer than one night, will we be able to provide a refund. Because we are ocean front and have no control over nature, we cannot provide a refund in the event of an evacuation due to a Tsunami or Hurricane.
Generally, there is no refund of cleaning fees. We ask that you inspect the property upon arrival and notify the maid of any problems immediately. If neither we nor the maid are notified of any problem upon arrival and we do not have the opportunity to correct the problem, there will no refund. There may be cases where a refund or partial refund is warranted and will be at our discretion. However, we must be provided the opportunity to fix any problems.
TRIP CANCELLATION PROTECTION
The cost of trip cancellation protection is 10% of the total cost of your stay. For example, if the total cost of your stay was $500, trip cancellation protection would cost you $50. This option protects your vacation investment in case of an emergency resulting in the CANCELLATION of your condo rental reservation. When you purchase this protection, any condo deposit and rental payments become fully refundable at any time if you cancel your trip whether it is for medical, professional or personal reasons.
Important: Trip Cancellation Protection may only be purchased at the time of reservation. It cannot be cancelled or transferred to another reservation once purchased and it is non-refundable.
General: These are non-smoking units and Hawaii law prohibits smoking within 20 feet of any building. Village By the Sea is a completely smoke free property. Only Service Pets are allowed at these properties.
Maintenance: We have 2 maintenance men that are available to us.
Occupancy: Our occupany is set at 5 persons for Kihei Garden Estates and 4 for Village By the Sea. A $10 nightly surcharge applies for more than 3 occupants.
